Gym Flooring RFQ Checklist for Commercial Buyers

Prepare a complete gym flooring request for quotation covering zones, products, quantities, installation, packing, documents and delivery.

A strong RFQ describes the facility, each training zone, the required product outcome and the commercial delivery scope. It gives suppliers enough information to identify assumptions and quote the same requirement.

1.Describe the project

State facility type, country, project stage, opening date and decision-makers. Attach drawings with room dimensions, columns, doors, transitions and equipment positions. Identify whether the inquiry is for material supply, a private-label range or a complete project schedule.

2.Schedule every training zone

List net area, activity, equipment, expected impact, subfloor and adjacent spaces for each zone. Allow the supplier to recommend a construction, but require the recommendation to state its assumptions.

3.Define the product deliverable

Request product name, construction, format, dimensions, tolerances, color, surface, packing and installation information. List required documents by name and destination requirement rather than asking broadly for ‘all certificates.’

4.Define commercial terms

State ordered quantity, spare percentage, delivery address or port, preferred Incoterm, required delivery window, unloading limits, labeling and pallet rules. If the supplier quotes an alternative, it should be clearly separated from the compliant offer.

5.Set a response format

Ask suppliers to complete the same line-item table and identify deviations. Require validity, sample lead time, production lead time, payment milestones, exclusions and the approval point that releases production.

Do I need to select thickness before sending an RFQ?+

You may state a requirement or starting direction, but include the actual training loads and ask suppliers to explain alternatives.

Should floor plans be shared?+

Yes, with confidential information removed where necessary. Dimensions and zone layout improve quantities, seams and transition planning.

How many suppliers should receive the RFQ?+

Use a manageable shortlist that can provide relevant samples, documents and complete responses. More quotations do not help if their scopes differ.

What makes a quote non-compliant?+

Missing requirements, an unidentified substitute, unclear trade terms or failure to state deviations should be flagged before comparison.
